The standard SuperOffice user levels and role based security are not suited for every organization. The provided access levels are basic and combinations of access rights are not possible. DataDirector Authorization provides access control that can be managed for entire records or individual fields. Create your own security levels that are as flexible as your organization needs.
For example; Create role-based access levels on company or project cards. Provide read-only access to address fields. Hide sales records that don’t belong to a group of users. Or control access to documents that are linked to a confidential project. All without having to deal with the SuperOffice User Levels. It’s that simple!

DataDirector Authorization provides security levels on Company, Contact, Project, Sales, Appointments and Documents. These rights can be managed for the entire record, individual fields and User Defined Fields. The user defined access levels can be controlled through several criteria based on the data of the corresponding or related record, or just set to each record or field. To create or edit the access levels is as easy as using SuperOffice’s Administration client. All that is required is to create a role and add rules to it. Each rule describes access rights and adds the result to the role.
The access levels are linked to the SuperOffice user level to provide maximum flexibility.
How it works?
Every DataDirector Role contains one or more rules. Every rule consists of one or more evaluations and one or more rights to apply. Basically, each rule allows you define which rights you want to apply under what circumstances.
Rights
Rights can be applied on field level and on entity level. Depending on the rule type and functions in SIX, different combinations of rights can be set on entities and fields.
- Read, sets rights to read/view the entire card or the specified field
- Insert, sets rights to add new cards
- Edit, sets rights to edit or update the entire card or the specified field
- Delete, sets rights to delete entire cards
Within each rule one or more rights can be defined.
Evaluations
Evaluations can be done on field level (for example: is the Category field equal to ‘Customer’?) or on related entity level (for example: has this Contact one or more Sales linked to it?). A combination of the two evaluation types is also possible (for example: has this Contact one or more Sales with an amount that is higher than 1000 linked to it?). Each rule has one or more evaluations. Within the same rule the ‘AND’ operator is applied between every evaluation.
Rights and evaluations are available on six data objects:
- Company
- Person
- Project
- Sale
- Appointment (appointment, task, phone call)
- Document (document, mail merge document, report)
Especially protecting information based on specific field values such as type of customer, vertical market or region are not available in SuperOffice CRM and can be set by DataDirector Authorization.
DataDirector Authorization enables you to set user access rights to entities like company, contact, projects, documents, activities and opportunities as well as to individual fields within these SuperOffice entities.
Based on predefined user roles such as sales representative, sales manager, managing director or based on field values for example region, responsible or category the user access rights can be set. These rights cover read, modify and delete.
Based on this solution you are able to determine if a company registered as “customer” can only be edited by your marketing department, address fields are read only in SuperOffice since they are imported from your ERP solution or can determine that confidential documents can only be accessed by users with a management level.
